This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Staff Accountant based in the United States.

As a Staff Accountant, you will play a key role in maintaining accurate financial records and supporting the accounts receivable and monthly close processes. You will oversee invoicing, payment application, collections follow-ups, and revenue reconciliations across multiple business lines. Working closely with the Accounting Supervisor and cross-functional teams, you will help ensure transactions are properly recorded, discrepancies are resolved, and financial schedules remain up to date. You will also contribute to month-end accounting entries, expense management, and the maintenance of audit-ready documentation. This role is ideal for a detail-oriented accounting professional who can manage recurring financial workflows while identifying issues and communicating proactively. You will join a collaborative finance environment where accuracy, accountability, and strong internal controls are essential.

Accountabilities:

  • Accounts Receivable and Collections: Coordinate collection follow-ups across multiple business lines and revenue streams, maintain up-to-date accounts receivable aging notes, and escalate overdue accounts according to established policies.

  • Payment Application: Accurately and promptly apply incoming payments, including checks, ACH transfers, and wire transfers, to the appropriate customer accounts. Investigate and resolve short payments, discrepancies, and unapplied cash.

  • Invoicing and Billing: Prepare and distribute invoices through Bill.com, including prebills, renewals, and affiliate content invoices, coordinating invoice timing with revenue schedules.

  • Revenue Reconciliation: Reconcile unearned and unbilled revenue against invoicing to prevent overbilling or underbilling for prepaid and installment customers. Maintain supporting schedules and recommend necessary adjustments.

  • Month-End Close Support: Prepare proposed month-end journal entries for revenue recognition, accruals, deferrals, intercompany due-to and due-from balances, and expense reimbursements using spreadsheets for review and posting by the Accounting Supervisor.

  • Account Classification: Support periodic reviews of transaction and account classifications, identifying categories that may need to be introduced, consolidated, or retired as business needs evolve.

  • Expense Management: Sync and classify corporate card transactions, verify that expense submissions comply with company policies, follow up on missing receipts, and maintain accurate transaction records for review and reconciliation.

  • Documentation and Internal Controls: Maintain close checklists, reconciliation reports, standard operating procedures, and supporting documentation to ensure records are accurate, complete, and audit-ready.

  • Cross-Functional Collaboration: Work with internal teams to resolve billing and collections issues, clarify discrepancies, and support timely financial processing.

  • Accounting Compliance: Follow established internal controls and apply US GAAP principles consistently across accounting activities.

Requirements:

You are a detail-oriented accounting professional who can take ownership of recurring financial processes, manage competing priorities, and communicate effectively with internal stakeholders and external customers. You bring a solid foundation in accounting principles, strong organizational skills, and a proactive approach to resolving discrepancies.

  • Professional Experience: At least 2 years of experience in accounting or bookkeeping, with direct exposure to accounts receivable, general ledger activities, and revenue support.

  • Accounting Fundamentals: Strong working knowledge of debits and credits, accrual accounting, and the fundamentals of revenue recognition.

  • Accounts Receivable Knowledge: Familiarity with invoicing, payment application, account reconciliation, collections follow-ups, and resolving billing discrepancies.

  • Excel Proficiency: Intermediate Microsoft Excel skills, including filters, lookup functions, and pivot tables.

  • Attention to Detail: Ability to maintain accurate financial records, identify inconsistencies, and ensure transactions are processed correctly and on time.

  • Organization and Ownership: Ability to manage recurring close activities, maintain schedules and documentation, and follow through on outstanding items.

  • Communication Skills: Clear and professional communication skills, with the ability to collaborate with internal teams and communicate with customers about billing and payment matters.

  • Problem-Solving: Proactive approach to identifying issues, investigating discrepancies, escalating concerns appropriately, and recommending adjustments.

  • Preferred Experience: Professional collections communication experience in a business-to-business (B2B) environment is an advantage.

  • Industry Background: Experience in media, advertising, events, subscription-based businesses, or software-as-a-service (SaaS) is helpful but not required.

Benefits:

  • Annual Salary: $55,000–$65,000.

  • Retirement Savings: 401(k) plan with employer matching contributions.

  • Healthcare Coverage: Comprehensive benefits package, including health, dental, and vision insurance.

  • Additional Insurance: Access to ancillary insurance options.

  • Paid Time Off: Unlimited paid time off (PTO).

  • Parental Leave: Paid parental leave to support employees and their families.
